This manual has been prepared in accordance with the Promotion of Access to Information Act, 2000 (“PAIA”) and the Protection of Personal Information Act, 2013 (“POPIA”).

The purpose of this manual is to:

  • describe the categories of records held by The CDE Pharmacy (Pty) Ltd t/a The Centre Pharmacy;
  • outline how requests for access to information may be made;
  • provide information relating to the processing of personal information;
  • assist members of the public in exercising their rights under PAIA and POPIA.

2. Purpose of PAIA

PAIA gives effect to the constitutional right of access to information held by:

  • public bodies; and
  • private bodies where such information is required for the exercise or protection of rights.

This manual assists individuals in understanding:

  • what records may be available;
  • how requests can be submitted;
  • how personal information is processed and protected.

3. Categories of Records Held

The Centre Pharmacy may hold records including, but not limited to:

  • financial and accounting records;
  • tax-related records;
  • contracts and agreements;
  • insurance records;
  • licensing and regulatory records.

Customer and Ecommerce Records

  • customer account information;
  • order and transaction history;
  • delivery information;
  • website interaction records;
  • payment-related information;
  • quotation and support requests.

Healthcare and Pharmacy Records

  • prescription-related information;
  • medical aid information;
  • pharmacy dispensing records;
  • healthcare-related support communications;
  • continuous glucose monitoring support information where applicable.

Human Resources Records

  • employee records;
  • employment contracts;
  • payroll information;
  • training records;
  • internal operational documents.

Technical and Website Records

  • website analytics information;
  • security logs;
  • cookie-related information;
  • website backup and maintenance records.

4. Processing of Personal Information

Personal information may be processed for purposes including:

  • ecommerce and order fulfilment;
  • prescription processing;
  • medical aid administration;

  • website functionality and security;
  • regulatory compliance;
  • direct marketing where permitted.

Personal information is processed in accordance with POPIA and applicable South African legislation.

  • the reason access is required where applicable;
  • proof of identity where necessary.

8. Grounds for Refusal

Access to records may be refused where permitted under PAIA, including where:

  • privacy rights of third parties may be affected;
  • commercially confidential information is involved;
  • legal privilege applies;

  • requests are manifestly unreasonable or unlawful.

9. Information Security

Reasonable technical and organisational measures are implemented to protect information against:

  • unauthorised access;
  • loss or misuse;
  • unlawful disclosure;
  • destruction or alteration.

While reasonable security measures are implemented, no internet-based system can guarantee absolute security.

10. Availability of this Manual

This PAIA Manual is available:

  • on the website where applicable;
  • upon reasonable request;
  • electronically via email request.

11. Updates to this Manual

This manual may be updated periodically to reflect:

  • legislative changes;
  • operational changes;
  • technology updates;
  • privacy and regulatory developments.

Updated versions will be published with the revised effective date.
